Bow Valley Weddings' Month Of Coordination Process:
Fill out the Inquiry Form on my Contact page and book a free 30 minute consultation to see if we're a good fit. We'll chat about what you've got planned so far and how I might be able to help you. I will send you a custom proposal and contract afterwards.
I encourage you to take your time reading over the proposal and contract. This is a big decision!
When you're feeling comfortable and are ready to hire me, sign the contract and pay the 30% non-refundable retainer.
After signing the contract, I onboard you onto my systems. I share my Workbook and my Welcome Guide with you. Both are full of vendor recommendations, helpful spreadsheets and checklists, and general tips and tricks for the next few months of wedding planning.
At any point, but at the latest at 12 weeks out, I recommend you schedule yourself in for a Timeline Review Meeting. I look over what you've planned so far and encourage a few tweaks here and there if I think they're needed. I also always offer help with any venue questionnaires.
6 weeks before your wedding, I send you a questionnaire which is due 2 weeks later. This questionnaire will take you about an hour to fill out and will supply me with all the information I need to confirm your vendors, build your Master Timeline and double check everything to make sure your wedding day plans are bulletproof!
Your final payment of 70% of the package price is due 6 weeks before your wedding.
We have our Final Timeline Review Meeting 3 weeks before your wedding. This meeting will take about 1.5 hours and we go over any open questions that either of us might have. My goal is to be 100% clear on your vision for the day.
We usually make a few more tweaks to your timeline and then share it (+ a few other documents) with all your vendors so we're all on the same page.
On the day before your wedding we conduct a Ceremony Rehearsal to ease everyone's nerves for the day after. I also like to attend any venue meetings you might have scheduled and to do a quick 30 minute Decor Handover with you just so you don't have to deal with it on your wedding day.
I usually rock up with 1 or 2 Assistant Day Of Coordinators to make your wedding day go silky smooth. We help you with any dress emergencies, deliver breakfast and lunch, set up your ceremony and reception, coordinate all vendors and events and help out with whatever else might come up. Our day ends with tearing down all your beautiful decor after your reception has ended.
